Every request becomes a tracked assignment with a name attached to it. The person responsible is contacted, reminded if they go quiet, and asked to record what happened before it can be closed. Nothing is finished because somebody meant well. It is finished because there is a report.

What your team actually sees

Volunteers never sign in

The person making a hospital visit at ten at night gets a text with a secure link. It opens to one assignment: who to contact, why, and a call button. No account, no password, nothing to learn.

Which means volunteers never get access to your database. The link shows one person, for one request, and stops working once the follow-up is done. Nobody browses your directory, exports a list, or sees a family they were not asked to help. Giving somebody a task has stopped meaning giving them the keys.

Leaders see what is still open

One list, oldest first, showing who is waiting and how long they have been waiting. Requests that need attention first are marked. Anything closed without a report stays on the list until somebody writes one.

A rotation that assigns itself

Set who is on call each day and requests route themselves, in your own timezone. Some forms should always reach the same person regardless, and those bypass the rotation. Nobody has to be watching an inbox.
